QuickBooks Error – “ Company file cannot be closed”

When closing QuickBooks Company file, you sometime receive below error message

quickbooks file cannot be closedDue to above error, your program becomes unresponsive and you cannot perform any operation on it.

cause of the error?

There are three possible reasons of above error message:

  • The above error may occurs if some third-party tool is exchanging data with your QBW file.
  • If Google desktop is running and scanning your QBW file.
  • If Pro Series Tax Preparation software is already installed on your system and you have reinstalled an older version of QuickBooks.
How to fix the error.
Try below methods to solve your problem:Disable third-party programs:

If any third party software ( Pro Series Tax Preparation or Google desktop) is installed on your system then end these programs using Window Task Manager.

Use Window Task Manager utility:
Since your application becomes unresponsive due to above error then in this situation, use Window Task manager to safely close the unresponsive application without restarting your computer. Following are the steps to finish the unresponsive program:
  1. Press Ctrl+Alt+Del to open the Window Task Manager window.
  2. Go to Task List-> Task Manager.
  3. Now select the Application tab to see all the programs that are currently running.
  4. Quit those programs by clicking the End Task button on which Not Responsive will appear after the name of the program.
  5. Close the window.
End the QuickBooks program if no other application is using the QBW file: Follow below steps to end the QuickBooks program using Window Task manager:
  1. Press Ctrl+Alt+Del to open the Window Task Manager window.
  2. Go to Process tab and click the Image Name header.
  3. Now select the QBW32.exe and click End Process.
Run Reboot.bat:
Re-register QuickBooks file if above methods does not resolve your issue.

For Windows XP:
  1. First open the folder on which reboot.bat file is stored.
  2. Right click the QuickBooks icon, select Properties.
  3. Click Find Target and double click the reboot.bat file.

A DOS window will appear, re-register the QuickBooks file and close it.

For Windows 7, vista & 8.

  1. First open the folder on which reboot.bat file is stored.
  2. Right click the QuickBooks icon, select Open file location.
  3. Search reboot.bat file in the Name column and double click it.

These simple steps should resolve the issue.

Unable to print from QuickBooks

Ever came to a situation where you need to print some checks from QuickBooks but your printer wont print.

this a very frustrating situation when things don’t work the way its supposed to.

In this article i will explain the the troubleshooting printer issues. As always, first thing to do is to identify the issue & then work on fixing it.

Isolate the issue, Try printing something form a notepad or Microsoft word. If that works then it means the printer is working fine & we need to work on QuickBooks printer setting. & if you are not able to print from notepad or Microsoft word then we need to troubleshoot the actual printer.

Lets say that the situation now is that the printer works fine with other application but its just the QuickBooks that you are not able to print from.

1 : Update QuickBooks to the latest Release.

2: Run the printer repair tool.

3: Delete QBPRINT.QBP.  The printer settings are stored in a file called QBPRINT.QBP. This issue most often occurs if the file has become damaged or corrupted.

If the printing problem is due to application error then these three simple steps will resolve the issue.

Just for your information Intuit has updated the tax table. 

Make Sure you have the latest tax table Installed which is ” 21416″

QuickBooks Payroll provides payroll updates to QuickBooks Payroll subscribers. These updates provide the most current and accurate rates and calculations for supported state and federal tax tables, payroll tax forms and e-file and pay options.

To confirm that you have the latest tax table, open QuickBooks and choose Employees > Get Payroll Updates. If you don’t see a message that says, “You are using tax table version: 21416,” means you have to install the updates.

Prevent QuickBooks Data Loss.

Ever came to a situation when you are not able to open your QuickBooks files due to certain errors like (-6189, -83), (-6190, -83), QuickBooks is unable to open this company file & to make matter worse when you try to restore backups you start getting errors like “Restore failed” or unrecoverable error & then when you realize that you had been backing up a damaged file for ages.? No matter what your answer is, you should go through this article just to ensure that your QuickBooks data is safe. In the article I am going to discuss how to prevent such data loss. Data loss can occur on any device that stores data for various reasons, what we are primarily concerned is to be prepared for any such incident as far as your QuickBooks Business files are concerned which can be very important for your business & you just can’t afford to lose them & take the pain to start all over again. There can be multiple reasons for the loss of a QuickBook. To list a few.. 1: Human error – accidental data deletion/modification/overwrite. 2: File corruption – Software errors, Transactions errors, virus infections. 3: Hardware failure – Computer/hard drive failure. 4: Other – Theft, lightning, flood, “According to a report on data loss in Europe, over 6% of PCs will suffer data loss in any year – a total of 1.7 million incidents. The report identifies six main causes of loss of data:

  • Hardware failure, including damage by power surge and drive failure (42%)
  • Human error, including accidental deletion (31%)
  • Software file corruption (13%)
  • Virus-infection (7%)
  • Theft, especially laptop theft, (5%)
  • Hardware loss, including floods, fires, lightning, power failure (3%)”

Going by QuickBooks. It has a inbuilt feature called backup which I am sure everyone using QuickBooks must have heard about but do we really know where is the backup going & was that a good backup? Trust me 80% of my clients didn’t knew where the hell they were backing up the data. Looking into the survey report 42% of data loss happens due to hardware failure therefore its important for you to upgrade the hardware as per technology changes. To minimize these chances of data loss due to hardware failure always backup your QuickBooks data on a different drive.

 During the QuickBooks Backup process everyone seems to skip the “browse” button without knowing where are they backing up the file. Also a QuickBooks User should also know the location of the file they are working on. If you are not sure then you can always check it by pressing F2 key while you are on that file.

backup uption On the Backup Option screen make sure you use the Browse button to select your backup location & I would recommend a network drive or external device to avoid data loss due to hardware failure. The second concern is the Complete verification Option. Most of tend to skip it as it takes time but it should should be checked due to which it will verify the file before backup & warn you in-case of any error. the file is damaged then & comes it an error like this . Quickbooks_Verification_Error then consider yourself to be lucky. at-least you are able to open the file. to fix such errors you need to review the qbwin.log file. Always make sure you are backing up your QuickBooks data at the right place at right time. Now there are multiple options for online backup as well but personally i don’t find them quite reliable. How frequently should i backup my QuickBooks File? Now that’s a very common Question but the answers vary, It totally depends how busy is your file. if its a busy file with more than 100 transactions every day then i would suggest back it up every single day & if not that busy maybe once or twice a week. QuickBooks has another great feature called ADR ( Automated data recovery) but we will discuss that in another article dedicated to ARD. Also make sure that you backup the file before any maor change like file upgrade or import of bank transactions etc etc. Data Loss due to Human error: If the data has been deleted by mistake the try to restore it back from recycle bin, If removed from recycle bin as well then you can can use recovery software like Recuva, Rrestore, Binary Biz to restore your deleted data.. Data Loss due to Virus. Run a scan on the file using tools like malwarebytes, trojan remover to ensure that there are no virus, even then if you face the same problem the send me a detail description about the exact error. The Bottom line..

  • You should know the location of your QuickBooks working file.
  • You should know where are you backing up your file. (network drive preferred )
  • Ensure that the data is clean during the verification process.

The trick to Downgrade QuickBooks Files..

Ever came to this situation where you might have to downgrade your QuickBooks Company file a higher version to lower version or Enterprise to Pro/Premier?

It can happen on multiple situations, to list a few as example.  Your accountant had opened the file in QuickBooks 2014 & send it back to you & you have QuickBooks 2012. or Somehow you started with Enterprise but then realized that you don’t need those extra features & want to downgrade for cost cutting,  There could be end number of reasons.

In this article i am sharing some hidden tool of QuickBooks & the trick to convert your Enterprise to pro/Premier or downgrading a higher version of QuickBooks file to lower version.

Disclaimer:  As per Intuit file downgrade is not possible but this trick worked for me therefore i am sharing it with the world. if you want to try this then make a copy & then work on it.

Facts : First you need to understand the data in a QuickBooks File. In broader term it contains two elements TRANSACTIONS & LISTS.

Plan of Action :  Intuit is correct we cannot downgrade the file. so the trick is to export the lists & transaction from your existing company ( higher version ) then create a new company to which you want to convert (lower version ) & import the LISTS & TRANSACTION in your new company file in lower version.

Lets get started with the trick..

  • Open  your existing company file.

Once the file is open out task is to export the LISTS & TRANSACTIONS & to do that we need to access the hidden tools of Quickbooks. The Hidden tool is under the HELP menu but needs a special key-stroke to access it.

  • Go to help About QuickBooks.

  • Once done you will get to this screen.

  • Once you are on this screen press CLRT & tap on “9” three times.  Once done go back to help menu & you will have the QuickBooks Hidden tools as shown in the pic below.

There are a lot of options but for now lets concentrate on exporting the LISTS & TRANSACTIONS.

  • go to HELP- Tech Support-Export- Export Lists which will take you to the screen shown below.4

I would advice to export off the lists which has been used on this file. Once exported save it somewhere on your desktop.     ( this would be in IIF format.) Once done you need to repeat the same steps to export the transaction.

  • HELP – TECH SUPPORT – EXPORT – EXPORT TRANSACTION. & save it on your desktop. ( this would be in IIF format)

once both lists & transaction are exported we are done with this version of QuickBooks. Now open the lower version of Quickbooks in which you wanted to convert or downgrade & create a new company file.

Once a new QuickBooks file is created in a lower version our task now is to import those TRANSACTIONS & LISTS. but before we do that we need to make a small change on those exported IIF files as if you try to import them in you will get get an error shown below.

to avoid that open the IIF files in Excel & delete the 2nd file as shown in the picture below & save the changes.

Once you are done deleting the 2nd lines from both the IIF files. (LISTS & Transactions) open your new company file & export the LISTS first followed by Transaction.

  • Go to FILE – UTILITIES – IMPORT – IIF Files.

It will take some time depending on the size of the IIF files.

Once done It will give you the prompt that the import is successful..

Once imported you are ready to work on the same file but in a lower version.
